Frequently asked questions
Short, direct answers to the questions contractors ask most — trial and billing, the app on a jobsite, clients and signing, logo and team, getting paid, insurance work, and your data.
Frequently asked questions
Short answers, grouped the way the questions arrive. Where a guide goes into the detail, it
is linked — this page is for finding the right guide in ten seconds, not for replacing it.
Trial, plans and billing
Does Clavoz cost anything to try? No. The trial is 7 days, $0.00 today, with every
feature on the plan you chose. A card is required at sign-up and is charged on day
7 unless you cancel first. See
The Free Trial and How You Pay.
What do the plans cost? Starter $39/month ($390/year, 25 quotes a month), Pro
$89/month ($890/year), Enterprise $179/month ($1,790/year). Yearly billing is two
months free, and prices are in USD.
Can I change plan or go annual later? Yes — Settings → Billing & Plan → Upgrade or
change billing interval, or the plans on the pricing page. Changing plan does not restart
a trial you have already used.
How do I cancel? Manage Subscription & Invoices in Settings → Billing & Plan, then
cancel in the Stripe portal. You keep working to the end of the period you already paid for;
nothing is deleted. See
Cancelling, Closing Your Workspace and Your Data.
Do I need an account to read the guides? No. The Help Center is public — pages,
articles and search all work without signing in, because it is what a person reads before
they have an account. Starting a subscription does need a card.
What happens if that charge fails? The status becomes Past due, the owner gets an
email with a 7-day window, and nothing is switched off while you fix it. See
Payment and Billing Problems.
The app on a jobsite
Does it work on a phone? Yes — it is a web app, and the layout is built for a phone in a
driveway: thumb-sized buttons, numbers that stay legible in sunlight, dark mode in the
top bar, and a menu button instead of a sidebar. Nothing to install.
Can I dictate a walkthrough instead of typing? Yes — Record Walkthrough on the quote
turns speech into line items, and you review the transcript before anything lands in the
quote. See Voice Walkthrough.
Can my client sign from their phone? Yes — they open the proposal link, read it, and
sign with a fingertip or a typed name. No account and no app for them. See
Sending and Signing.
Clients, import and signing
Can I import my client list? Yes — a vCard (.vcf) exported from Apple Contacts or
Google, a CSV spreadsheet, or a sync from your phone. You can also paste a single lead. See
Importing Contacts.
Can I quote somebody who is not a client yet? Yes. Type the name on the quote and the
app notices it is not in your CRM, then offers Add to Client List when you want the
record kept. See Quick Start.
Does Clavoz keep track of my clients? Yes. Every client in one place, with several
phones and addresses, company clients and their job sites, your notes, and every quote,
proposal and invoice you've sent them. See
Onboarding and Contacts.
Can I send a proposal by text or WhatsApp? Yes — Send via Text (SMS), WhatsApp,
email, or Copy Link to paste anywhere. See
Sending and Signing.
Can I use my own terms and contract? Yes. Attach your contract and your terms to the
proposal, and keep a master contract so the right wording goes out every time (Pro and
above).
What do the quote statuses mean? Draft (still yours), Sent (out with the
client), Signed (they accepted it). After that the job is yours to deliver and bill. See
After Signing.
Can I bill the job? Yes — Invoices in the sidebar, or Create invoice from a
signed job, which fills in the next unpaid stage or the whole balance. Number each one, send
it, and mark it paid when the money lands. See
Getting Paid by Clients.
Your business and your team
Can I put my logo on the proposal? Yes — Settings → Company details takes a logo
(drag it in, or click to choose a file), and the logo, your name and your tagline print on
every exported quote and PDF.
Can I add my team to the workspace? Yes — invite an estimator, an admin or a
viewer from Settings; an unaccepted invitation expires after 7 days. See
Enterprise and Custom Needs.
Money and getting paid
Does Clavoz hold or move money? No. It never touches your money — no commission, no
escrow, no float, and it never charges your client. A signed proposal carries your deposit
instructions and milestone draws, and an invoice you raise from the job is a document the
client pays you directly — the money moves between you and your client. See
Getting Paid by Clients.
What is the difference between margin and markup? Margin is profit as a share of the
price; markup is profit as a share of the cost. The same job has a smaller margin number
than markup number, and that is not a rounding error. See
Gross Margin and Contingency.
How does the financing link work? You paste your own lender portal link — Hearth,
Wisetack, Acorn, your bank — into your profile, and the proposal offers a monthly payment
estimate. The client applies with the lender, and the lender decides. The teaser is hidden
on jobs under $500, because "Estimated $11/mo" under a small repair reads as a joke. The
amortised arithmetic behind the figure is written out in
How the Numbers Are Calculated. See
Customer Financing.
Estimates and insurance work
Can it read a carrier estimate? Yes, if the PDF has a text layer. Upload it and the
parser lifts the line items, quantities and prices onto the quote, flagging the ones you
should check as Verify Qty or Set Price. See
Parsing Carrier Estimates.
Can I change their lines and send it back? Yes. Change any line, add what they missed
with the building code behind it, and send it back to the adjuster on your own letterhead
in one click. Their original lines stay beside yours. See
An Insurance Job, End to End.
Do I have to say prices out loud? No. Most contractors don't. Clavoz fills each line
from your price list, and marks anything it can't price so you never send a guess. See
Voice Walkthrough.
What about a scanned estimate, or a photo of one? It finds nothing. The parser reads the
text inside a PDF, and a scan is a picture of text. Ask the carrier for the original PDF, or
export one from the program that wrote the estimate — see
Common Issues.
Do I need to do insurance work to use Clavoz? No. Retail and homeowner jobs run through
the same builder, without a carrier in the loop — see
Workflow: Retail Job and
Workflow: Insurance Job.
Can I give the client options instead of one price? Yes — Good/Better/Best tiers, and
optional add-ons the client can accept on the proposal without editing your quote. See
Multi-Tier Pricing.
Does Clavoz know my local building code or permit fees? No. It does arithmetic, not
research: no code lookup, no permit database, no supplier price feeds behind your back. See
Your Responsibility for the Quotes You Send.
Your data
Who can see my quotes and clients? Only your workspace. Every query the app makes is
scoped to your organization, which is why an export contains nothing from another company's
workspace.
Does Clavoz store my card number? No. Your card is held by Stripe; Clavoz only
ever sees whether a subscription is active.
Can I get a copy of everything? Yes — export a proposal as a PDF, export a material
takeoff, and ask us for a complete archive of the workspace. See
Cancelling, Closing Your Workspace and Your Data.
What if I stop paying — do I lose my quotes? No. A workspace that is no longer paid for
is locked, not deleted: sign-in is refused and the rows stay. Deletion is manual and
deliberate, never on a timer.
Getting help
Where are the guides? At the Help Center — public, searchable, and linked from
the question-mark tips inside the app.
How do I reach a person? Email hello@clavoz.com, or use the contact form (Sales,
Enterprise or custom needs, Billing, Technical problem, Other). The form is limited to five
messages an hour from one address, so put the detail in the first one. See
Getting Help.
A guide is wrong, or something is broken. Tell us either way. The guides live in the
repository beside the code, so correcting one is a code change with a diff — a guide that
disagrees with the app is treated as a bug.
Found something out of date? The guides live in the repository's
docs/ directory — fixing the guide is part of fixing the feature.
